Progress Reports
What is a Progress Report?
A Progress Report is an early intervention tool that the University of Houston-Victoria uses to identify & contact students that exhibit behaviors or habits that inhibit their success in the classroom.
It is our belief that early intervention allows time & opportunity for students to make necessary adjustments to their academic performance through the use of academic services/resources, communication with faculty, & support from their Success Coach/Adviser.
Progress Reports come from the faculty & are processed by the Student's Advisors or Coaches. Faculty members are encouraged to submit Progress Reports when students display academic, social, or emotional difficulties, such as:
- Failure to complete & turn in assignments
- Failure to read & understand assigned readings
- Frequent absences (or stop attending)
- Poor participation in discussions
- Poor study skills
- Poor understanding of course content
- Poor writing skills
- Weak performance on major exams & assignments
- Weak performance on quizzes &/or homework
- General concerns
Progress Reports are not meant to stop communication between professor and students.
Progress Report Contact Process
The Progress Report is pulled every weekday morning. Once pulled, it is divided among the Success Coaches. Initial contact with students is typically made with 24-72 hours of receiving the Progress Report.
If Yes can pass with C or better
Initial Contact:
Second Attempt (1 week after no response from student regarding initial contact):
- Send letter to mailing address
- Postcard to Dorm, if the student lives on campus
Third Attempt (1 week after no response from student regarding second attempt):
- Call student
- Text student, if cell phone is listed
If Unclear or No
Initial Contact:
- Email and Phone Call
Second Attempt (1 week after no response from student regarding initial contact):
- Send letter to mailing address
- Postcard to Dorm, if the student lives on campus
- Text student, if cell phone is listed
Third Attempt (1 week after no response from student regarding second attempt):
- Call student
- Text student, if cell phone is listed
Second ASR Received
We will follow the same steps for the first ASR. However, if a student has not responded to us regarding the first ASR, we begin our initial contact with an email & phone call (or text).
ASR Meetings with Students
- Discuss ASR with student
- Find out the issue and target where we think the school can help (academic services/resources)
- Refer student to services/resources (Success Coach/advisor, tutoring center, writing center, instructor, workshop, counseling, etc.)
- Set up additional meetings to check in depending on the ASR
After Meetings with Students
- Update ASR System in PeopleSoft
- Pull ASR Reports every 2-3 weeks & send to instructors
Students
Progress Reports serve as an early alert for students not meeting the classroom standards. Faculty submit the Progress Reports to the student's Advisor or Student Success Coaches who then reach out to the student.

- Weak performance on major exams and assignments
- Weak performance on quizzes and/or homework
- General Concern
If you receive an Progress Report:
- Contact your Advisor or Success Coach informing them that you have received the notification. They can discuss ways to improve and recommend you to valuable resources.
- Contact your instructor to let them know that you are working to resolve the issue.
Remember, your Advisor or Success Coach is here to help but only if you are willing to do the work.
