ASR Contact Process
The Academic Success Referral (ASR) report is pulled every weekday morning. Once pulled, it is divided among the Success Coaches. Initial contact with students is typically made with 24-72 hours of receiving the ASR. ASRs are not meant to stop communication between professor and students.
Academic Success Referral Report
First ASR Received
If Yes can pass with C or better
Initial Contact:
Second Attempt (1 week after no response from student regarding initial contact):
- Send letter to mailing address
- Postcard to Dorm, if the student lives on campus
Third Attempt (1 week after no response from student regarding second attempt):
- Call student
- Text student, if cell phone is listed
If Unclear or No
Initial Contact:
- Email & Phone Call
Second Attempt (1 week after no response from student regarding initial contact):
- Send letter to mailing address
- Postcard to Dorm, if the student lives on campus
- Text student, if cell phone is listed
Third Attempt (1 week after no response from student regarding second attempt):
- Call student
- Text student, if cell phone is listed

Contact residents RA or get their picture from business services (if we don’t know what they look like) and find the student in a class or dorm room.
Second ASR Received
We will follow the same steps for the first ASR. However, if a student has not responded to us regarding the first ASR, we begin our initial contact with an email & phone call (or text).
ASR Meetings with Students
- Discuss ASR with student
- Find out the issue and target where we think the school can help (academic services/resources)
- Refer student to services/resources (Success Coach/advisor, tutoring center, writing center, instructor, workshop, counseling, etc.)
- Set up additional meetings to check in depending on the ASR
After Meetings with Students
- Update ASR System in PeopleSoft
- Pull ASR Reports every 2-3 weeks & send to instructors
