Using POP3 Clients to Access Your Email

In addition to providing web-based email, the UHV email server also supports email clients that use Post Office Protocol Version 3 (POP3). Some such email clients are Outlook, Outlook Express, Eudora, Netscape Mail, and Internet Explorer.

This document will not provide instructions for specific email clients; rather, it will list the basic information necessary to configure the client of your choice.

Account Name or Username 

The student account username is the student's seven-digit PeopleSoft (PS) ID. For complete details on student accounts, see Student Account Information.

Password

Your new password must meet the following restrictions or conditions:

• The password is at least eight characters long
• The password contains characters from each of the following three categories:
• Alphabetic characters, uppercase or lowercase (A - Z, a - z)
• Base 10 digits (0 - 9)
• Special Characters: ! @ # $ % ^ & * ( )
• The password cannot contain the user's account name or parts of the user's full name that exceed two consecutive characters.

Important Note: New student accounts are set up with pre-expired passwords meaning the student must change the initial password to a new password before the account can be used. Thereafter, the student account password will expire and require changing 90 days from the date of the last password change. When using POP3 client, you will not be notified when your password has expired. It will simply fail to work
NOTE: When selecting a new password it must meet the following restrictions or conditions:

You may receive a security warning. It is safe to continue. Select "Update Personal Profile". Login with your UHV student account username and password. (This is the same username and password that you used to login to email, but do not enter "uhv\" in front of your username.) The information displayed will be your first name, last name, username and email address.

Return address

Your return address is the same as your email address.

Deleting Email from Server

The default setting on most POP3 clients is to delete email from the server once it has been downloaded to the client. If you are using Outlook or Outlook Web Access the majority of the time to access your email and use POP3 only occasionally, then you do not want to delete email from the server. If you do delete email from the server, then the next time you use Outlook or Outlook Web Access, those messages will not be in your Inbox.

However, if you will be using a POP3 client as your sole means of checking your email, then your email client should be configured to delete the email from the server. If you download your email from the server but never delete it from the server, you will eventually run out of room on the server.
