Annual Departmental Life/ Genaro Cortez, campus Safety and Risk Manager, will begin conducting the annual departmental life/safety inspections in August. As in the past, all facilities, workspaces, common areas and offices will be inspected for life/safety compliance. Genaro will be sending out more information on this shortly. FY06 Mail Services Cost Centers If the cost center you are using to pay FY06 departmental postage and other mail services will be changing in September, please let us know. To quickly review your cost center information on the “P” drive, click Postage folder. If you have any changes, e-mail them to steenl@uhv.edu. This is a good time to also notify Mail Services to remove any inactive postage cost centers. Records Retention-Destruction of Records At the close of every fiscal year, a certain number of boxed records will have met the state required retention periods and Business Services will have them destroyed. If your department wishes to retain any boxed records beyond the required retention period, please review the Records Scheduled For Destruction file posted on Drive “P”. If you wish to retain any records scheduled for destruction for an additional year, please notify Susie Motal in Business Services not later than September 30th and provide the bar code number for each box and a cost center to charge. The cost of extended storage at the off-campus commercial site will be billed back to the department by journal. The current annual storage charge is $6.72 per box. If you do not respond, outdated records will automatically be destroyed in accordance with university policy. |
The maintenance department in Facilities Service has developed a spreadsheet that maintenance technicians may access from any computer on campus for reviewing new service requests. This has optimized the efforts and reduced response times of maintenance staff resulting in quicker and more effective service to university staff and faculty. Additionally, maintenance has converted 20% of lighting in the University West building from T-12's to T-8's. These activities along with other energy saving practices have reduced heat loads on the air conditioning system and reduced energy consumption in this building by 27% in June, despite this month being hotter than June of last year. We greatly appreciate your kind words of support for our “restorative” landscaping projects. Much data and studies have been developed in medical environments supporting the 200 year old belief that a connection with nature improves the healing process and improves a person’s disposition. Therapeutic gardens and restorative landscapes are becoming a fixture in the design field. For those who are unable to venture outside, data suggests the improved health and stress reducing benefits of pictures focusing on landscapes or water. Although, these studies were primarily focusing on improving medical care, they also support the improvement of the workplace. Please continue to communicate your interests and support of the remaining projects that are scheduled. We trust you will be pleased. (And for those who have asked, I cannot move your desk beside the water feature of the West building.) Thank you for your participation and support in our recent and scheduled floor restoration throughout the facilities. With your participation, we have reduced outsourcing of some custodial activities by 71%, while improving the cleanliness and long term effectiveness of your facilities. |
