The Cashier’s Deposit Form is now on the Web at http://www.uhv.edu/fin/vice_pres/forms.htm under the section titled "Cash Handling."

Hotel Charge Cards

Hotel Charge Cards are offered as a convenience to the employees for travel.  The University receives one bill for all charges made to the hotel charge card from all departments.

The charge card is audited in Finance before the bill can be paid. Proper backup documentation must be received from each department who has used the card.  If the documentation is not received, the bill is sometimes paid “late” incurring a late charge, computed automatically in PeopleSoft, and posted to every department’s cost center involved in the payment.  Even though a department may have submitted their documentation on time, because the bill was paid late, the “on time” department will also be charged a proportional amount of “late fee.”

When traveling please help us pay the bill on time by submitting a correct hotel bill and reimbursing the University immediately for any personal charges. Everyone must pay a “late fee” if even one department causes the bill the be paid late.

Facilities Services

Facilities Services in Victoria is pleased to announce that Kristin Morgenroth has accepted the position as secretary and Robert Garcia has accepted the position as evening custodian.  We are currently advertising for a Maintenance Technician position.

We are examining numerous options to save on utility costs.  It is anticipated that utility costs  could increase by 35% or more this fiscal year.  Changing  the fluorescent t-12 lamps to more energy efficient t-8 lamps at Victoria was completed by Maintenance personnel prior to the Christmas holiday.  We are currently collecting information for the installation of occupancy sensors which will extinguish lamps in unoccupied offices and classrooms for all three sites in Victoria.

Information Technology has developed a new Service Request program that we hope will make the request process easier for you.

The Facilities Services maintenance team has been busy off campuses at Sugar Land and Cinco Ranch while we are advertising for a Maintenance Mechanic II position for Sugar Land/Cinco Ranch.  In Sugar Land, the Victoria maintenance team recently rewired some of the outside lights around the Sugar Land building.  Additionally, we are waiting for information back from a contactor on replacing the steps and lamps on either side of the building at Sugar Land.  At Cinco Ranch, the Facilities Services maintenance team re-routed some circuits for the media equipment in four classrooms.  This team is scheduled to return to Cinco Ranch to add some switches for parking lot lamps and to change out the inefficient t-12 lamps with efficient t-8 lamps.  We are coordinating the changing of the vinyl wallpaper in the restrooms as well.

We are awaiting information from a contractor on installing an independent air conditioning unit in the Information Technology equipment room at Sugar Land that will assist in removing heat and extend the life of the equipment in that room.
