Is Your Transaction Log Ready for Audit?
Beginning in April, one or two lucky UHV
ProCard cardholders will be selected each month for an internal audit.
We will be looking at record keeping, documentation and compliance
with ProCard procedures in general. This will be an
opportunity for you to ask questions as well. Each audit will take
approximately 60-90 minutes.
Year End Requisitions Should Be Submitted....The
Sooner the Better!
Don't wait....the end of the fiscal year
(August 31st for you government types) is right around the corner! Try not
to wait until the last minute to place your larger orders over $1000.
Start submitting your year-end purchase requisitions as soon as you can.
Purchasing will be notifying you of official requisition deadlines in
April. Contact Lydia Huber X823 or June Secrist X821 if you have
questions.

Same Money Using Bulk Mail!
Are you missing out on a way to save money
in your postal mailings? Some of your larger mail outs may qualify
as Bulk Mail. In order for mail to qualify as "bulk mail"
a minimum of 200 pieces are required, identical in weight and size.
The bulk mailings can be letter, flats, card stock, or tri-fold.
What kind of savings can you expect? Well, a department with a
200-piece mailing, for example, can save $41.00 over First Class
costs by sending it as Bulk.
Bulk Mail does have some requirements. To

its own web link in Business Services for one-stop mail shopping and
information services.

Bursar Office's Efforts May Be Paying
Dividends
The percentage of students disenrolled for nonpayment continues to
decrease. Fall 2002 statistics show 2.93% of the enrolled student
population was disenrolled for nonpayment. The
percentage fell to 1.73% for the Spring 2003 semester. For
comparison purposes, the normal disenrollment rate is about 5% at UH Main.
The Bursar's Office likes to think (and we tend to agree) that their
personal telephone. Follow up with students who have not paid for one
reason or another is yielding results. Once the Bursar's staff finds
out what the student's problem is, many times they are able to
assist. For example, sometimes a student may not know about the various
loans UHV offers or sometimes, the Financial Aid folks are able to
help the student and we direct them there. So we save that
enrollment.
P.S. There has been great student response to web
credit card payments which opened last November. Also, the proposed
nonresident tuition rates of $313 submitted by the Coordinating Board back
in January has been revised downward (that's right...downward) to
$282 for the 2003-2004 academic year. Final tuition and fees for the Fall
have not been finalized yet and probably won't be until June or July...and
that's because some actions hinge on Legislative outcomes.
