The meeting was called to order by Lisa Barr, Chair, at 10:00 AM on October 8, 2009.
Lorraine Scattergood motioned the September 2009 minutes be approved with no changes, and Alexis Brooks seconded the motion.
Margaret Rice gave a quick update about raises that employees received October 1, 2009. She stated that President Hudson worked hard with the board of Regents to get the raises approved. Staff members had questions about the raise process, and she suggested they contact HR for specific questions. She also noted that Regent Berry, a new member to the Board of Regents visited the UHV campus.
Guest Speakers
Genaro Cortez from the Business Office spoke about the new video security surveillance system going up in the University Center and University West buildings. There are no plans at this time to incorporate the SBDC building or facilities building. Users will be given photo ID cards so that they may enter the building after hours without the use of a key. All information will be stored in a database. This will also monitor who comes in and out of the building at times other than regular building hours. A digital video feed will be stored for 1 month unless being reviewed for some other reason.
Genaro Cortez also spoke about the swine flu and what UHV and his department are doing to stay on top of things and to alert the employees of UHV if needed. Genaro gets daily and weekly information from the county, local and state government offices. A link to the latest H1N1 update can be found on the UHV human resources website. Old Business
The birthday celebrations will continue for FY 10. Lisa reported that the Birthday committee finished their survey, and the results showed that 14 departments
were interested in hosting a month for birthdays, 3 tied, and 5 disagreed. The new schedule can be seen in the attachment to the minutes, or online at

The University Charitable Project will be a teaming effort with the Food Bank of the Golden Crescent. The food drive will be open for two weeks at the end of January 2010, including one day (January 29) open to the public if they would like to donate as well. Ramona from the Food Bank will be the November guest speaker to talk about what items will be best to donate. The Sugarland staff will also try to get in touch with their local Food Bank to make donations as well, and contact the other system-wide campuses to see if they are interested, too.

New Business
The new UHV website redesign has been implemented. All staff with suggestions should fill out the Website Redesign - Staff Survey that can be obtained from Marci Wallace by emailing wallacem@uhv.edu
Announcements
Yvonne Garcia stated that the UHV "Bright Ideas" Relay for Life team would start raising money again with a craft show on October 17th at United Methodist Church in Victoria and Bunco night on November 5, 2009 at UHV. She explained that 100% of what the team raises goes straight to the Relay for Life local and national funds for the American Cancer Society. The Bright Ideas team keeps no profit for themselves, and last year raised over $10,000. For more information, see any of the Bright Ideas team members.
Flu shots will be available October 20, 2009 in Victoria. If you did not register by the deadline, you may stop by the day of the flu shot clinic to see if they have extra vaccines available.
After announcements, it was discussed and decided that any general staff questions about raises can be submitted to staffcouncil@uhv.edu. Then Lisa would put together a list of questions and meet with Laura Smith, Director of Human Resources, and others who may be able to provide answers. Laura Smith should be given time to answer the questions and will be invited to our next meeting to share her answers with the staff.
