SUBJECT: EMPLOYMENT ELIGIBILITY VERIFICATION

 

POLICY

All University of Houston-Victoria (UHV) employees must provide, upon request, official transcripts, completed Employment Eligibility Verification Form I-9, and proof of registration with the Selective Service System, when applicable. Failure to comply with these requirements will lead to termination of employment.

PROCEDURE

I-9 Documentation In accordance with the Immigration Reform and Control Act of 1986, any individual hired by UHV after May 31, 1987 must present to the Human Resources Office acceptable proof of eligibility for employment within three (3) business days of employment. Section I, Employee Information and Verification, of the I-9 form should be completed on or before the first day of employment. Employment eligibility shall be verified by examination of documents establishing identity and employment authorization and completion of the I-9 Form provided by the Federal Immigration and Naturalization Service. Failure to provide acceptable documentation as specified by law will result in immediate termination of employment. Contact the Payroll/Benefits Manager for information on acceptable documentation. When possible, arrangements will be made for part-time faculty hired at the UH System Centers to complete I-9 forms at that site.

Hiring supervisors should communicate to all new full-time and part-time employees that they must complete I-9 forms on or before their first day of starting work.

Transcripts

Deans should communicate to all new faculty that they must have official transcripts on file within 30 days of employment. Letters of appointment to faculty and adjunct staff will include notice of transcript requirements.

Deans will be notified if official transcripts for newly-hired faculty have not been received within 30 days. Faculty who do not have official transcripts on file within 30 days of beginning employment may be terminated.

Selective Service

Effective September 1, 1999, all males from eighteen up to twenty-six years of age hired by an agency of the State of Texas must provide proof of registration with the Selective Service System or exemption prior to beginning State employment. Proof of registration includes the individual's selective service registration acknowledgment card or a copy of the individual's on-line verification screen from the Selective Service System's web page.
